School management platform: Achieving an 89% satisfaction rate with user-centric workflows

Project overview
Data is everything, and this is true in education as well as in any other sector. However, Nigeria’s education sector struggles to effectively exchange data regarding student and enrollment information, school assessment scores, and financial details.
Our client, School Integral, wanted to facilitate data exchange between the many stakeholders of the education sector with a school management platform. These stakeholders included students and their parents, administrators, teachers, schools, and government bodies, among others.
The digital platform’s mission was simple: fix fragmented data flows and power financial transparency in the education sector.
The stakes were high for our client. The digital platform had to be intuitive and accessible for 3,000 schools, 25,000 teachers, and 200,000 students, with the user base expected to grow further post-launch.
That’s why School Integral needed a reliable UI/UX design partner to get the user flows and interface design right from the get-go.

Challenges
School Integral’s key challenge was ensuring the platform’s intuitiveness and convenience for a variety of users, from students and teachers to administrators and government officials. That required a strong focus on visual communication, streamlined information architecture, and easy navigation.
Our client also expected users with varying levels of digital literacy to turn to the digital platform. So, screen reader compatibility was a must.
Finally, School Integral expected its partner to conduct extensive user research to inform all design choices. Our client also needed a partner ready to collaborate closely with the product owner and iteratively refine the design based on continuous user feedback.

Solutions
Based on our extensive user research, we designed wireframes and interactive prototypes for School Integral’s digital platform. Our research ensured the design responded to the specific challenges and needs of Nigeria’s education system.
Together with the product owner and early users, we refined the wireframes and prototypes to streamline user flows and improve the task success rate even further.

Our UI/UX design services helped our client secure an 81% engagement rate and an 89% CSAT score for the platform. Our attention to streamlining navigation, information architecture, and user flows also led to an above-the-benchmark 82 SUS score and limited the user error rate to 11%. Our iterative improvements, in turn, drove user retention by 17% and increased conversions by 21%.

School portal
This portal brings together all information about a specific school, such as the number of students and the student-to-teacher ratio. An intuitive yet powerful search allows users to quickly find the right school, and they can send applications to any school right on the platform. The portal also enables users to create an account in several simple steps.
Our minimalist school profile layout with a clear information hierarchy turned the browsing experience into a convenient and simple affair. Our focus on streamlining navigation, in turn, helped the portal secure an SUS score of 83 and a task success rate of 88%.

Enrollment management
School staff can view enrollment information for each class in a single table, review applications, and centralize admission decisions. Users can also easily apply students and add exam results from the same screen.
Thanks to a decluttered table view, working with enrollment information became easier and faster, as stated by users during our prototype testing.

Analytics dashboard
This dashboard combines all school data, allowing users to customize the view to aggregate data across all schools or show it for a specific institution. Thanks to an optimized layout and our focus on visual communication in the form of charts and graphs, this data is easy to understand at a glance.
Our efforts to make data analytics easy to work with paid off. The module scored the highest during our system usability and task success assessments.

User profiles and management
We designed user profiles for six categories of stakeholders: teachers, students, schools, state representatives, organizations, and EdTech partners. All users can be viewed and managed from a single dashboard.
We also took extra care in creating minimalist profile layouts adapted to each category. For example, student profiles centralize personal details, grades, and medical records. Teacher profiles, in turn, display their classes, disciplines, and performance metrics in intuitive charts.
Comprehensive yet simple profiles were among the main satisfaction points among early adopters, as frequently cited in the CSAT feedback we received.

Screen reader compatibility
To ensure the platform remains accessible to all users, we defined what elements were needed for screen reader users, as well as the announced content, content order, and native semantic roles. We then outlined the focus order and behavior and validated the user experience.
We tested our design prototypes with multiple screen reader solutions that were the most popular with the target audience based on our user research. As a result of our accessible design and UX validation efforts, users can enjoy a seamless, streamlined user experience while using screen readers.

Streamlined navigation and search
The platform contained multiple components, each with a lot of information and features. So, we had to pay extra attention to navigation when preparing and refining wireframes. To streamline platform navigation, we minimized the number of steps required in iterations and made it predictable, consistent, and clear.
In addition to that, we added a search bar at the top of every screen so that users could easily find the needed information across the platform. Search results can be refined using a variety of filters, streamlining the experience further. Search bars were also strategically placed throughout the platform, allowing users to look up specific students, teachers, and so on.
Our efforts in the matter of navigation and search paid off, with the time on task for these actions reduced by 48% compared to the first design iteration.
